Here is a complete invoice template for Google Docs, free on this page with nothing gated. Docs is a good invoicing tool for one reason: the master copy lives in Drive, so every device you own can issue an invoice with File > Make a copy. Below are the fields, the table layout, the exact menus to build it, and the sharing settings that keep a client from editing your total.

How to use this template
- Start at docs.new. Typing docs.new in the browser address bar opens a fresh Google Doc. Set File > Page setup to Letter with margins at 1 inch.
- Build the layout once. Type your header and client blocks, then Insert > Table and pick a 4 by 8 grid for line items. Add subtotal, tax, and total rows at the bottom and bold the total.
- Name it as the master. Call it Invoice master and drop it in a Drive folder named Invoices. This copy never gets sent to anyone.
- Copy per invoice. Each time you bill, open the master and hit File > Make a copy, then name the copy by number and client: 2026-018 Rivera. Fill in the copy, never the master.
- Deliver as PDF. File > Download > PDF Document (.pdf) produces the file you email. If you must share a link instead, Share > General access > Anyone with the link, set to Viewer, never Editor.

The same template in Google Sheets can compute amounts and totals, and the CSV below imports straight in through File > Import. Docs wins on looks, Sheets on arithmetic. Plenty of people draft in Sheets and paste the final numbers into Docs.
Version history is your receipt
File > Version history > See version history shows every change with a timestamp. If there is ever a question about what the invoice said when it was sent, Docs already kept the evidence.
Do not invoice from a folder clients can browse
Keep the Invoices folder private. Share individual PDFs, not the folder, or a client can read what you charge everyone else.
Chase with a rhythm you decided in advance
Day after due, one week, two weeks, then a phone call. Decide the cadence once, put the reminder dates in Google Calendar when you send the invoice, and the chasing stops depending on your memory.
Download the blank PDF to fill by hand, or pull the CSV into Google Sheets with File > Import; neither one asks for your email.

Should I use Google Docs or Google Sheets for invoices?
Docs if your invoices are short and you value the typography, Sheets if you want quantity times rate and totals computed for you. The field list is identical either way, and the CSV download on this page opens in Sheets via File > Import when you want the calculating version.
How do I reuse the same invoice in Google Docs?
Keep one master document and use File > Make a copy for every new invoice. The copy inherits the layout and fields, and you change the number, dates, and line items. Editing the master directly is the classic mistake, because next month starts from last month's data.
Is it safe to send a client a Docs link?
Only as view only: Share, then General access set to Anyone with the link as Viewer. Safer still is File > Download > PDF Document, which hands them a file that no future edit of yours can change and no permission mistake can expose.
Do I need a paid Google account to invoice this way?
No. A free personal Google account covers Docs, Sheets, Drive storage for years of invoices, and PDF export. Paid Google Workspace mainly adds a custom email domain, which looks more professional but changes nothing about the template.
