Free invoice template for Microsoft Word
Everything you need to invoice from Microsoft Word is on this page free: the full field list, the table layout, and the exact menus that turn a blank document into a reusable template. What goes on a word invoice

How to use this template
- Set up the page. Open a blank document, then Layout > Margins > Normal. Add your business block with Insert > Header, type your name, address, phone, and email, and close the header.
- Insert the line item table. Insert > Table and drag out 4 columns by 8 rows. Type the column headings, then use Table Design to strip heavy borders. A single line under the heading row reads cleaner than a full grid.
- Make Word do the math. Click the last cell of the Amount column, then Layout > Data > Formula and enter =SUM(ABOVE). Word inserts a field with the total. It does not recalculate live: select the field and press F9 after editing amounts.
- Save it as a real template. File > Save As, and pick Word Template (.dotx) as the type. From then on, File > New > Personal opens a fresh untitled copy so you never overwrite last month's invoice.
- Send a PDF, not the .docx. File > Export > Create PDF/XPS produces the file you actually email. A .docx can be edited, shows tracked changes you forgot about, and may render differently on the client's machine.
Get paid faster
Keep a number log outside Word
Because each invoice is a fresh file, it is easy to reuse a number. A one column spreadsheet listing number, client, and amount takes ten seconds per invoice and saves you at tax time.
Shorter terms for new clients
Give a first time client due on receipt or Net 14, and relax to Net 30 once they have paid twice. Payment behavior on invoice one predicts invoice ten.
Deposits belong on project work
For anything spanning more than a couple of weeks, invoice 30 to 50 percent up front as its own invoice, then reference it on the final bill.
The follow-up email is part of the job
Write your reminder email once and save it next to the .dotx. Day one past due, week one, week two. Reusing the same calm wording keeps the relationship intact.

Frequently asked questions
Can Word calculate invoice totals?
Yes, inside tables. Put the cursor in the total cell, open Layout > Data > Formula, and enter =SUM(ABOVE). The catch is that the field does not update on its own: select it and press F9 whenever you change an amount, or you will send an invoice with a stale total.
What is the difference between .docx and .dotx?
A .docx is a document, a .dotx is a template. Opening a .dotx from File > New creates a fresh unsaved copy, which is exactly the behavior an invoice needs. If you keep your master as a .docx, one distracted save destroys it.
How should I send an invoice made in Word?
As a PDF, always. File > Export > Create PDF/XPS keeps the layout locked. Editable Word files invite accidental changes, and old tracked changes or comments can travel with them.
Does the formula trick work in Word for the web?
No. The free browser version of Word handles the table and the layout fine, but the Formula command lives on the desktop app's Layout tab. In the web version, type the total yourself and check it twice.
