Free HVAC invoice template for installs and service calls
An HVAC invoice doubles as the equipment record: model and serial numbers for every unit installed, the SEER2 rating of the matched system, the refrigerant type, and how many pounds were added. Split heat pumps installed today must meet at least 14.3 SEER2 under federal standards, so the rating on the invoice shows the system clears it. The sample below bills a 3 ton heat pump and air handler changeout, and the blank PDF and CSV are free.

How to use this template
- Copy numbers from the data plate. Photograph each data plate at install and type model and serial from the photo. Box labels get mixed up at the supply house, and a wrong serial on the invoice fails a warranty registration later.
- Register the equipment before you bill. Register on install day, then print the confirmation on the invoice. The client sees the longer parts coverage they paid for, and nobody is chasing a 60 day deadline from the office a month later.
- Bill refrigerant by type and pound. Write the refrigerant, pounds added, and pounds recovered. A line reading 2 lb R-410A at your per pound rate holds up; recharge system, $400 is the line that sends a client shopping for a second opinion.
- Print the matched rating. Take SEER2 and HSPF2 from the AHRI certificate for the outdoor unit and indoor coil you actually installed. Brochures quote the best pairing, and the invoice should state the one on the pad.
- Close the permit on the same page. Permit number, fee, and final inspection date. Rebate forms and the next home inspection both ask for proof the changeout was permitted.

Keep installs and plans on separate invoices
A new system and the maintenance plan sold with it bill on different schedules. Separate invoices let the install close out cleanly and the plan renew on its own date.
Charge diagnosis as its own line
The diagnostic fee pays for finding the problem. When the client approves the repair, show the fee, the part, and the labor as three lines, so a declined repair still pays for the visit.
Leave the equipment record on site
Tape a copy of the equipment section inside the air handler door or next to the furnace. The next technician, possibly you, sees model, serial, refrigerant, and install date without a phone call.
Print the filter size
One line with the filter size and change interval ends the most common follow-up call of the year, and the client reorders without pulling the grille.

Not for installs placed in service in 2026. The One Big Beautiful Bill Act, signed in July 2025, ended the 25C Energy Efficient Home Improvement Credit for property placed in service after December 31, 2025. Utility and state rebates are separate programs, so point clients to their local utility.
