How to use this template
- Pick the numbering scheme before invoice one. Year dash sequence is the boring right answer. Renumbering later breaks the paper trail, so start how you mean to continue.
- Confirm your sales tax duties. Register with your state before collecting, charge the rate for the delivery location where that applies, and put the tax on its own line. Forty five states plus DC levy a sales tax, and whether services are taxable is a state by state question.
- Invoice at delivery, not at month end. Batching invoices to the end of the month hands away up to 30 days of float. The template takes five minutes; send it with the delivery or the handshake.
- File the copy where the accountant will look. One folder per year, files named by invoice number. At tax time your revenue records reconcile against bank deposits in an afternoon instead of a weekend.
- Review what is outstanding weekly. Once a week, list unpaid invoices by age. Anything past due gets the next step in your follow-up sequence that day, not when cash gets tight.
Get paid faster
Keep invoices at least three years, realistically seven
The IRS window is generally three years, six if income was underreported by more than 25 percent. Most accountants say keep seven and stop thinking about it. Digital copies count, so scan and back up.
Separate the business bank account
Depositing invoice payments into a personal account makes every audit and every bookkeeping session slower. The account separation is what makes your invoice records provable.
Aging buckets tell you who to call
Thirty days late is a reminder, sixty is a phone call, ninety is a stop-work and a conversation about the relationship. Decide the escalation once and apply it evenly.
Offer the payment method that clears fastest
A card or ACH link settles in days and a mailed check in weeks. Card fees near 3 percent are real, but weigh them against the cost of waiting and chasing.

Sequentially with a year prefix: 2026-001 upward, one sequence for the whole business, never reused and never with gaps. Sequential numbering is the backbone of clean books, and starting at 001 is fine. Nobody worth working with cares that you are new.
Do I need to charge sales tax on services?
It depends on your state. Forty five states and DC have a sales tax, physical goods are almost always taxable, and services range from fully exempt to broadly taxed. Register with your state revenue department before collecting a cent, and when in doubt ask them, not a forum.
